Which audiences belong in an outreach mandate?
The right audience is one that has a clear reason to receive the request and a valid route for hearing from you. We begin by distinguishing audiences you own from communities where you participate and third-party publications that may consider a placement.
A useful source inventory includes:
- Your opted-in email contacts: where people signed up for communications that can reasonably include this contest update.
- Member or customer communities: where the terms and relationship support a relevant message.
- Groups you participate in: where the posted rules permit contest-related requests, subject to administrator approval.
- Newsletters or channels run by others: where the owner has agreed to the proposed mention and any placement terms.
The Mandate Letter records the objective, approved sources, message owner, contest deadline and boundaries. Send the original sign-up language or a clear description of how each audience joined; a list alone does not establish consent. We do not use purchased, rented or scraped contact lists, add people to groups without permission, or send unsolicited bulk messages. If a source cannot be supported with a credible consent basis, it stays out of the plan. For broader promotion options, see contest marketing and creator outreach for contests.
How does the Quality Gate clear a group or mailing source?
The Quality Gate checks the permission path and the rules of each proposed source before any message is scheduled. This protects the entry's standing in the community and gives the client a record of why a source was included or excluded.
For each group or channel, we review its description, pinned guidance and relevant recent posts, then confirm whether a contest request is welcome and where it belongs. If the administrator requires a direct request, we provide the proposed wording and wait for an affirmative response. Silence is not treated as permission. For newsletters or other third-party placements, we confirm the owner's acceptance and the approved wording before proceeding.
The Compliance Review also compares the outreach ask with the contest's own conditions. If outside promotion is prohibited, we do not attempt to route around that rule; we advise against the outreach and can refer the client to contest rules and risk consulting. The client should provide the official contest rules, entry page, voting instructions and any prior correspondence with administrators. We record approvals and exclusions in the Governance File so the team can see what is cleared, what is pending and what must not be sent.
What changes when the message moves from email to a group?
The core request stays consistent, but its presentation must fit the channel and the recipient's relationship with the sender. Email can give context and explain voting steps; a messenger post needs to make its purpose clear immediately; a community contribution should respect the group's usual format.
| Channel | Useful message shape | Preparation point |
|---|---|---|
| Opt-in email | Brief personal context, clear request, entry link | Identify why the reader receives the email and provide a working unsubscribe route |
| Messenger group or channel | Short opening, concise request, single destination | Confirm the admin's permission and the correct posting place |
| Community discussion | Relevant context before the link | Follow the group's topic and posting guidance |
| Third-party newsletter | Owner-approved mention in the agreed format | Confirm placement details and any separate charge in writing |
We create distinct copy rather than pasting one announcement everywhere. The message should identify the entrant, explain what the contest asks supporters to do and state any confirmation step, such as email verification or account login. It should not imply that a vote is automatic or pressure the recipient. If you need the creative and copy developed alongside outreach, see contest creative and copy; for email channel planning, review contest promotion by email.
How are approvals, timing and reporting governed?
Outreach proceeds in a controlled sequence: source review, permission confirmation, message approval, release and reporting. The schedule is built around the contest deadline and the time required to obtain responses from list owners or group administrators, rather than assuming every source can publish immediately.
The client and our team agree who may approve copy and who will answer recipient questions. Before release, we confirm the entry link, voting instructions, any deadline language and the source-specific permission. Messages are sent from an appropriate client-controlled account or published with the administrator's approval; we do not impersonate a member or conceal who is making the request.
The Governance File keeps the working record together. It can include:
- The source inventory and consent notes supplied or verified for the plan.
- Administrator responses and the approved location or format for a post.
- Final versions of messages, links and the release schedule.
- Source-tagged visit information and relevant replies available to the team.
- A closeout note identifying completed work and useful follow-up actions.
The service fee is quoted against the agreed scope and confirmed in writing before work begins. Any third-party newsletter or community placement charge is identified separately for approval. If paid advertising is also appropriate, its platform spend is separate from the agency fee; see paid promotion for contest entries.
Where does outreach stop, and what can supporters expect?
Outreach can present a clear invitation to an eligible audience; it cannot direct how recipients respond. An administrator may refuse a post, a recipient may ignore a message, and a platform may remove or limit content under its own rules; we therefore promise the agreed work and reporting, not a win, vote count, ranking or outcome. Our methods are white-hat and in line with platform rules and contest rules.
Supporters should receive an accurate description of the steps the contest requires. If voting includes email verification, registration, a captcha or another stated check, the message can explain that process plainly; we do not help anyone bypass it. We do not use bots, scripts, fake accounts or click farms, and we do not buy votes, followers or engagement. If the contest rules disallow outside requests, or the proposed audience has not agreed to receive them, we decline that source.
Before approval, ask the team to show the source record, the permission status and the exact message that will be used. A plan with fewer suitable sources is preferable to a wider plan that cannot demonstrate consent. Our no-bots policy explains the wider boundary for contest work.
What should you prepare before requesting outreach?
A concise source-and-rules pack lets us assess feasibility before anyone contacts a group or sends a message. Gather the items below and identify anything that still needs confirmation.
What we prepare
- A source inventory separating owned lists, communities you participate in and third-party publications.
- A consent and rules review, with administrator approval recorded where required.
- A channel-specific message plan, approval path and schedule tied to the contest deadline.
- Tagged links and a reporting format for activity that can be observed.
- A written scope and quote, including any third-party placement costs for your approval.
What you provide
- The contest rules, official entry page, deadline and exact voting instructions.
- The origin and sign-up terms for each email list, plus the relevant group or channel names.
- Any administrator conversations, previous permissions or restrictions already received.
- The name and account from which messages should come, and the person who approves copy.
- Any audience preferences, such as language, tone or topics that should not be mentioned.
Outreach can sit alongside contest methodology, but it is not a substitute for checking eligibility and rules. Send these materials through the free contest analysis; we will review the entry, map viable sources and return a proposed scope and written quote before work begins.
How it works
- Share the entry and audience sourcesProvide the official rules, entry link, deadline and how each proposed list or community was formed. Mark which sources you own and which require an administrator's permission.
- Review consent and contest conditionsWe assess the stated opt-in basis and compare the proposed request with group guidance and contest rules. Sources without a clear permission path are excluded.
- Approve the mandate and messagesWe confirm scope, responsibilities and quote, then prepare channel-specific wording and obtain required approvals before scheduling.
- Release through approved sourcesMessages are sent or posted through the agreed account and format, with permission recorded and source links set up for reporting.
- Review activity and close outWe share available source-level activity and replies, then document completed work and practical recommendations for future outreach.
Frequently asked questions
Can you contact a list I bought or collected from public pages?
No. We work with audiences that opted in to relevant communications or with sources whose owners approve the request. A purchased list or contact details gathered without consent are not eligible for outreach.
Do you ask group administrators before sharing my entry?
Yes, where the group requires or expects permission. We review its guidance, send the proposed request to the administrator when appropriate and wait for a clear approval. No reply is not approval.
What do you need from me before planning begins?
Send the official contest rules and entry link, deadline, voting steps, and an inventory of the lists and communities you have in mind. Include how people joined your list and any permissions or restrictions already discussed with group owners.
Can you guarantee a certain number of votes from outreach?
No. We can commit to the approved source checks, messages, release work and reporting in the agreed scope. Recipients choose whether to act, and administrators and platforms control whether a post remains available; we do not promise votes, a ranking or a win.
How long does it take to prepare and run outreach?
Timing follows the contest deadline, the number and type of sources, and how quickly list owners or administrators respond. We set a schedule after reviewing those dependencies and begin publication only after the messages and required permissions are approved.
How is the outreach fee determined?
The quote reflects the source inventory, permission work, writing, coordination, release and reporting included in the agreed scope. Any third-party placement charge is shown separately for approval, and the written quote is confirmed before work starts.
Can you send reminders to people who already voted?
We can help plan a respectful reminder process using the response information available to you and the tools you control. The plan should make it possible to suppress follow-ups where someone has already responded or asked not to receive more messages.
